A complete guide to writing a perfect resume

Acceptance into your preferred position can be a difficult task for everyone. To be accepted in a given sector, you must possess the necessary talents.

The majority of people are unable to obtain a position in the organisation owing to their poor resume quality. You must format your resume in such a way that it will match the company’s requirements. For example, a chef named George is seeking a position as Chef in Chef de Cuisine at Hudson Yards in New York, USA. However, he received a rejection letter from the sector after some time. All of this is because his resume lacked the substance of what the company was looking for but couldn’t find in it.

As a result, before you write a fantastic resume, bear the following general points in mind:

Do not write long paragraphs

Make your resume as short, crisp, and accurate as possible while you are composing it.

Keep your sentences in bullets rather than paragraphs. It’s crucial to remember that your resume should be written in such a way that readers can immediately comprehend and infer your professional skills, career history, and accomplishments. Since recruiters like to go at a succinct resume rather than spending a lot of time assessing your resume.

Recheck your spellings and grammar before submitting

Error is a natural part of life. Even if you believe you have typed everything precisely, there is always the possibility that something will be inaccurate. As a result, check your resume at least three times before submitting it. Make sure you have perfect spelling, punctuation, and grammar. You can give your resume to a friend, colleague, or anyone else you know who can give you some helpful feedback. Maintain a professional tone in your phrases.

Maintain decent formatting

It is critical to prepare your resume properly. Improper resume formatting can always impair the quality of the resume, causing the recruiter to pass over the candidate and putting him or her at a disadvantage when it comes to job placements.

So make sure your formatting is correct. Avoid using any fancy fonts. Prefer using fonts that are professional or usually used in an official letter like Ariel or Times New Roman at a font size of 11 or 12. Keep the headings or sub-headings bolded. And use tables wherever necessary.

You should constantly utilise black and blue colours in your resume for a better format. Also, save your resume in pdf format and email it to companies in pdf format.

Now often candidates get worried as to how to choose a perfect resume format to catch every readers eye. Maintaining a decent layout is very important while formatting your resume.

So here is a short review on how to make your resume layout formal.

Font name

Two types of famous fonts can be used while writing a resume.

1)    Sans Serif Fonts-

a.    Georgia

b.    Times New Roman

c.    Century Gothic

d.    Bookman Old Style

2)    Serif Fonts-

a.    Tahoma

b.    Arial

c.    Calibri

d.    Helvetica

Font size

Header font size- 23 or 24

Body font size- 10 or 11

Note: Do keep the font type similar throughout. Example- If you are using Times New Roman, keep it the same throughout. Never use two fonts in a resume. Also never use a font size that is below 9.

Rule of margin

Keep your margins at a distance of one to two inches. Never go below 0.5 inches. 1 inch is a standard margin size.

 Make a professional email address

A ludicrous email address is sometimes cited as the primary cause for a resume’s rejection. For instance, [email protected] is a good example. Use your entire name or any numerical values in your mail id instead of such an email address. You can use [email protected] or [email protected] instead. This is because receiving a resume with a crazy email address right at the top of the sheet can give the candidate a bad first impression.

Do not include irrelevant information

Candidates are sometimes so determined to write the perfect resume that they embellish it by including irrelevant material. For example, George Benjamin is looking for a job as a chef at a restaurant, but in addition to his relevant domain talents, he also included his marketing or business skills. This may not be a top focus for the recruiter and may appear to be unimportant thereby causing a rejection. Therefore, while writing, always stick to the job’s requirements. Write down your marketing internship rather than your cooking skills if you’re applying for a marketing job. For someone applying for the position of chef, highlight and emphasize any internship or job experience you have in a restaurant and not in the areas of business or marketing. Because including irrelevant material on your resume will not only increase its length but will also make it appear a lot clumsy.

Tip

Take enough time while writing your perfect resume. Try to make it original so that it will stand out from the crowd. A recruiter gets thousands of resumes in a day. But what inspires him or her to recruit you would be the ability of a perfect presentation with proper formatting and excellent content.

If you have received any awards and honours be it in academia or extracurricular, do add them to your resume.

A point to keep in mind is, if your resume is meant for seeking a position of a machine operator, then do add relevant awards related to the educational field. Don’t try to deviate your resume by writing your first place in a drama competition or first rank in dancing. These awards will not be counted instead they will make your resume more inappropriate. Therefore, if you have any educational related award like some kind of competitive platform, somewhat relevant to your job area then do go ahead with that.

•    Hobbies/ activities

•    References (maximum 3 people)

Points to remember while writing a resume for a machine operator;

Substantiating the above sample, here are some tips on how to write a crisped and perfect resume for a machine operator.

  •    Keep the introduction short and accurate:

A professional resume doesn’t necessarily mean that it should be elaborative and highlight your life history. Keep your introduction summary or objective as short as possible but highlight the required skills and experience. The case of a machine operator requires good knowledge and experience in handling machine parts. So do highlight a one-line experience of handling equipment. Next, do mention where you are currently based and one of your skills if wanted. Keep the tone professional and make your writing error-free.

Example 1 – “Daniel is an accomplished machine operator, based in Germany, Tangstedt. Have two years of job experience at Danfoss International, Denmark.”

Example 2 –  “Daniel is an accomplished machine operator based in Germany, Tangstedt having 4 years of working experience in handling heavy equipment independently through monitoring machines, conducting repairs and cleaning. Dedicated worker bearing good communication and time management skills along with teamwork.”

Thus, the three main things to mention to add essence and nail your Introduction are;

•    Make a point of mentioning your credentials or qualifications or professional experience.

•    Mention your strongest trait. It can be either a soft skill or a hard skill.

•    Emphasize your desire to succeed and how it links to the company’s objectives.

  •    Segregate your skills into hard skills and soft skills for quick understanding and emphasize both of them equally:

To stand out from the crowd, a flawless CV generally necessitates a combination of both hard and soft talents. As a result, after you’ve separated your skills, concentrate on both types of skills and how they relate to one another in your resume. For instance, to possess a hard skill of outstanding AutoCAD Mechanical, you must possess a soft skill of exceptional problem-solving abilities. As a result, attempt to balance your residence from both sides so that all of your soft skills merge in with your hard skills.

Furthermore, it is advised that you do not include extremely sensitive or confidential information in your resume, as this will not help the interviewer assess your abilities, nor will it be a good idea to share such information with anybody.

Example

Soft skills

•    Fluency in English and German. (Languages that are known can also be added as a separate point. However, this ability may not be required. Because Daniel’s resume is for a German company, it may stand out if he mentions the German language, which he can read, write, and speak.)

•    Bare good communication skills and problem-solving abilities.

Hard skills

•    Have a profound knowledge of machine operation.

•    Experienced in vehicle performance monitoring, equipment inspections, and general maintenance.

•    Computer literate.

•    AutoCAD Mechanical.

•    Design Engineering.

Hiring managers must be certain that a potential employee has the necessary technical skills and can function in a fast-paced workplace as part of a team.

Assisting them in assessing this information as fast as possible would be welcomed, and it could be the minor element that sets your CV apart from others.

  •    Experience – work or professional

After you’ve demonstrated why you’re the best candidate for the job, it’s time to back up your assertions by properly summarising your experience.

Maintain a decent writing tone and list out your points.

Example-

Work Experience:

August 5th 2019 – September 7th 2020 – Adult and Baby Pant Machine Operator, Nobel Hygiene Pvt. Limited.

June 2nd   2017 – June 3rd – 2019: Machine Operator at  Danfoss International, Denmark.

June 4th 2015 – June 5th 2016 – Machine Operator at  Swara baby product Pvt. Ltd.

Professional Experience:

•    Operated heavy equipment such as a pressure truck, a water truck, a sour seal unit, and chemicals.

•    Worked as an assistant labourer in cleaning and washing equipment using high-pressure water jetting trucks and kept tools and fittings in a good condition.

•    Have independently managed 10-15 cars as an assistant service manager. If you want you can combine both the work and professional experience under one single highlight. Do add specific dates lines if any to make the resume better. Since a resume without dates stands nowhere.

It is recommended, however, that no obvious or unneeded skills be highlighted, as this may make your resume clumsy.

  •    Education/ academic qualification

It is important to highlight your educational or academic background well. You can create a table and highlight your academic excellence.

Example:

2013- 2016 – Diploma, Electrician at University Institute of Technology, RGPV

March 2015 – Machining Level 1 Certificate

If you want to make a table, under the first column you can add your year of completion, the second column your university and the third column with a degree. If you want you can include your marks obtained too.

Your resume serves as a marketing tool for you, showcasing your talents and experiences to recruiters and assisting you in landing an interview.

An interesting and effective resume will help you stand out from the crowd and land some fantastic job chances.

Do’s and don’ts while writing your resume

Do

•    Do include your contact information.

Example-

Name: Daniel Schiffer

Address: Inge Beisheim Platz 16, Tangstedt, Schleswig-Holstein – 22886, Germany

Contact Info: +49 04109 22 58 15

Email address: [email protected]

•    Do summarise your introduction in at least two short paragraphs.

•    Do stick to at most 2-3 pages.

•    Do use easy sentences and powerful verbs in your sentences like “ have completed a three-year bachelor degree in machine learning” or “managed or handled machine designing project while working as an assistant service manager at Nobel Hygiene Pvt. Limited.”

Don’t

•    Don’t add irrelevant information.

Like for example, stating your hobbies. Recruiters aren’t interested to know whether you are a good dancer or a basketball player when you are seeking a machine operator job. But if you are seeking a position as a physical trainer them all these physical activities or sports will be considered and relevant. Therefore it is advised to remove anything that isn’t completely applicable to a work environment.

•    Don’t write anything Negative.

•    Don’t use a passive voice in your resume.

Example:

Instead of writing “A three year AutoCAD Mechanical development program or project was managed by me” prefer writing it as “managed AutoCAD Mechanical development  project for three years”

Since this type of tone is fairly concise and easy to understand by the recruiters.

• Don’t add any obvious skills.

Example-

Microsoft office is known by many. No person doesn’t have knowledge of Microsoft or computer. Because everyone assumes you have a working knowledge of Microsoft offices like word or PowerPoint and then there’s the internet, therefore make the most of your limited resume space by emphasising talents that set you apart.

•    Don’t try to hide any gap year. Be honest and confident with your approach. Everyone gets a setback at least once in their life. So it is completely normal to not have been able to keep up with the flow and to take a year off. If asked about your year gap during the interview, be honest and tell them why you took a year off. State it, if you were sick or had personal reasons or wanted a year to prepare for any competitive examination. Mention what you did then, like travelling or writing, helping the community or teaching, household etc.

So these were some of the do’s and don’ts to keep in mind before writing a resume.

Conclusion

Resumes, often known as curriculum vitae, are essential for introducing you to interviewers. It is like a first impression that will last throughout the firm. It serves as both an entry point or gate to the company, as well as a statement about your own identity and who you are to the interviewer. So, if you want to stand out from the crowd, do remember the ideas mentioned above. Spend as much time as you want on your resume, but make sure it’s perfect for the greatest results.
