Employees Expenses

 The organization would cater for some expenses on your behalfs, such as work-related trip expenses, hotel, and accommodation incurred at the organization’s expense. However, your organization might ask you to keep track of the spending and present a report detailing how much was spent and the corresponding receipt for the expenses. Employee’s expenses are reimbursed based on the following.

Note the organization reimburses not all travel expenses; for example, if you went to the airport on a business trip, you would be reimbursed; however, you would not be reimbursed for a personal visit to the museum. Therefore, before you engage in any trip, you must contact your human resource manager or the accounting department about your travel to formalize every part of your trip. 

You must keep receipts for all reimbursable expenses as proof of the amount spent. Submit the receipt of the reimbursable expenses to your manager for necessary processing either [Physically or through expense software at the organization] within the speculated time as laid down by the organization. As soon as your manager approves your expenses, your payment would be processed, and you would receive your reimbursement within the [specified period] by [check, draft, or cash].

Company Car

You might be given a company car to support your employment activities if the car is an indispensable part of your duties. For instance, if you are a truck driver, a delivery driver, or a senior executive driver.  More so, you can receive a company car if it is a benefit associated with your job description or your office. 

Either way, the car/vehicle belongs to your organization, and you are expected to take care of the vehicle at all times. Although you might be allowed to use the company vehicle for personal use if it is explicitly specified in the company car policy. You would only be reimbursed only for business-related expenses incurred on the car. 

Before you can be given a company car, you should have a valid driver’s license and good driving history for more than a year. You must also be sober and avoid drinking while driving while you respect all traffic laws and respect other fellow road users. You should always check the car’s gas level to ensure it is adequate at all times; you should also ensure the tire pressure and all the important fluids in the vehicle are at the expected level. 

You are supposed to follow some driving rules:

  • Smoking isn’t permitted in the company vehicle
  • Selling or leasing out the company car to other users
  • Teaching anybody how to drive a car with the company car.
  • Leaving your company car in dangerous areas, unlocked or unattended. 

On the part of the organization, the car’s safety would be the top priority and would be appropriately insured at all times.

Accidents 

Perhaps if you are involved in an accident with the company’s care, it is best to contact the human resource department immediately to contact the respective insurance provider for appropriate evaluation. You should not agree to be responsible for paying anyone involved in the company car accident without any authorization from the relevant department.

You must ensure that you follow the organization’s policy every time to avoid disciplinary action related to the company car. 

Parking

Most organizations prioritize parking spaces assigned for the senior executive and note the parking space reserved for disabilities and employees who drive the organization’s vehicle. The other parking space left would be allocated based on a first-come, first-served basis. 

It is expected that you keep the parking lots clean and use the assigned parking space at all times, while you should avoid causing injury, damages, or loss of properties to others while you park your vehicle. 

Company issued equipment

Being employees for an organization, you might receive [company cell phone, furniture, laptops, and other devices that might help you become more productive]. Unless stated otherwise, all company equipment belongs to the organization and must be used for the organization only.
