Begin by welcoming the employee:  

It is important to first welcome the employee in a short paragraph or a maximum of 2-4 sentences.

Formatting:  

You should always present your letter in a perfect and professional format. Make sure your font size is equal throughout the letter. Keep your formatting neat and readable. Avoid using any fancy fonts. You may use professional office fonts such as Times New Roman or Arial with font sizes between 11-12. 

If you are drawing any margins, make sure they are of 0.5 inches thickness.  

Use black ink while writing and keep your headings bolded.
