Welcome Message To New employees

It is a common practice to welcome a newcomer, whether it’s a departmental store or starting a new job. Welcoming means to greet the person in a kind manner as they arrive or are introduced to the system. Welcoming can take many forms; It can be in the form of small welcoming notes, welcoming messages, emails, letters, or could be in person. They could be formal or informal depending on the situation and the relation between the two. In short, there is not one single way to welcome someone. Here are various types of Welcome Message To New employees.

Types of welcomes

Welcoming can take various forms they could be

Formal welcome messages

The formal greeting or welcoming is undertaken when greeting either a customer or when introducing someone into the work setting. They can either be in person or could be virtual. You may receive either a welcoming email from your manager, followed by some colleagues, or maybe introduced in front of the entire department.

In-person

When your employer personally welcomes you and introduces you to the whole department. Often referred to as inductions, they are a formal way of introducing a new employee into the firm’s system while acquainting them with the firm’s goals, objectives, policies, their responsibilities, their office/cabin/desk, their team, department, the premise and helping them feel socially comfortable. In-person inductions are usually carried by your manager or the HR officer.

Written or Virtual

Written or virtual welcomes have become a common practice of the contemporary age. While in-person inductions are still in practice, the frenetic world is adapting to less time-consuming procedures. The concept of virtual firms is fast-growing as it helps save time and money. Virtual firms that operate completely using the firm’s software and have most employees working remotely, usually undertake virtual inductions.

Informal welcome messages

Informal language is only plausible when communicating with a close friend or of some relative. Communicating informally with new colleagues or new employees gives off a negative impression as it is not a professional thing to do. As the first impression has a long-lasting effect it is important to only communicate informally when the person is a close friend or relative.

Many firms that have a friendly and liberal environment promote informal communication. These firms promote humor and do not require using honorifics. People are allowed to refer to their managers by their first name and joke around within respectful boundaries. Informal welcoming can also be done in person or virtually

In-person

In-person informal welcoming messages are kind and friendly. They have jokes and promote socialization. One simple example is hi-fives.

Written or Virtual

Informal written or virtual welcoming messages are just as friendly as in-person welcoming, They promote friendly communication and create a friendly working environment.

Why Is It Important

Welcoming messages, emails, orientations, and onboarding play a crucial role in the employee’s first impression of the company which could have a long-lasting effect. It is important to conduct inductions and onboarding carefully and sending lively and courteous welcoming messages or emails. About 40%of the employed population wants to quit or change their jobs according to The Microsoft Work Trend Index.

Reports from March 2021 provided that about 2.4% of the hired population wanted to quit or change their jobs in the prior month. The number has been constant for the past 5 years. Annually 30% of the hired population wishes to leave their jobs. This number is in no way a minuscule figure. It puts a lot of burden on the talent acquisition team and also delays the ending of projects which eventually costs the company.

Research from the “Work Institute” showed that about one-third of the newly hired employees want to quit or end up quitting their jobs within the first year. The company’s first impression plays a vital role in this decision. It is important to help the newly hired employee feel comfortable and understand the work setting properly. Confusions and communication gaps lead to misunderstandings and create a negative image of the workplace. Welcoming messages and inductions are a crucial part of the hiring process as:

• It helps acquaint the new employee with the new premise, office and different departments.

• It creates a positive first impression.

• It helps the new employee get to know the firm and other employees better

• It helps them feel more comfortable socially.

• Helps them understand the company’s culture and values.

• Makes them aware of the company’s policies and conditions right away.

Conclusion

Welcoming messages, emails, inductions, and onboarding should not be taken lightly. The turn-over rate within the first year of hire is 30%. This puts a lot of burden on the HR and talent acquisition team and could delay project deadlines. Writing courteous welcoming emails and messages creates a positive image. Writing welcoming mails does not require much skill however there are a few things one should keep in mind when writing them. The use of slang, sarcasm, similes, double-meaning words, and jokes should be avoided when writing a formal message. Proofread for grammatical or spelling mistakes. Use kind and encouraging words.
