Standard Format –
A standard format must include the following –
- A proper heading. The proper heading is a must for any job offer letter, rescinded or not. Make sure to convey the message directly through the title, for example – if it’s an offer letter, you simply write ‘Offer Letter’ on top, but for a rescinded offer letter, you must write titles such as ‘rescindment notice’, ‘rescinded offer Letter’, etc.
- The next thing which you should mention is a date. Make sure that you write the proper date, including the month, the day of the month, and the year.
- Once you’ve written the date, you can mention the subject. Keep your subject brief and short which also clearly conveys the message to the reader.
- Start with a greeting. ‘Good morning’ or ‘Hello’ are the most common examples of a greeting. After that, mention the candidate’s name.
- Write the body of the letter well. Convey the message to the reader that why you want or do not want this person anymore. Don’t write too long, make it to the point and brief.
- In the end, thank the person for choosing your company. Also, make sure to wish the person all the best for their future ahead.
- End the letter with a formal goodbye, such as ‘best regards’ or ‘yours sincerely’, and mention your full name, signature, and designation.
